Fiscal Year Required Paperwork: Annual Financial Report

Required Paperwork

There are two pieces of paperwork that your section is required to complete for the end of the SWE Fiscal Year, (1) the Annual Financial Report, and (2) taxes. This blog post will walk you through the ins and outs of preparing and submitting the Annual Financial Report, which is due on July 30th.

Tune in Wednesday for information on completing taxes (despite the later deadline of November 15th, it’s never too early to get your tax paperwork in order!)

Annual Financial Report

  • Online Report due by the July 30th annually
  • Must be submitted by every section
  • Your section’s dues rebates will not be sent unless submitted
  • Items needed to complete the Annual Financial Report:
    • Section/MAL/Region EIN
    • Your financial bank information & start/end balance sheets
      • Income Information
        • Dues Rebate
        • Scholarship income
        • General donations
        • Specific project donations (banquet, outreach event, etc.)
        • Interest
        • Accounts receivable
      • Expense Information
        • Scholarships
        • Administrative expenses
        • Accounts payable
        • Other
      • Appropriate tracking of income/expenses throughout the year makes tracking this easier!
    • Copy of budget and ledger
    • Contact information for current Treasurer and next year’s Treasurer
  • This financial report should be filed by the Treasurer at the END of their term, and is a great transition activity
  • Best Practice: Review the report at the beginning of the fiscal year to understand requirements for reporting by activity type.

Annual Financial Report – Online Instructions

  • Login to login.swe.org using your SWE membership credentials and select Leadership, then select Submit Section Financial Report
    • Note: These buttons will only be available to the President and Treasurer of a section.

  • Then select Create New Section Financial Report

  • Enter all the Sections Financial Information accordingly, then select Next

  • Before submitting, you will need a second authorized officer to confirm accuracy:
    • Collegiate: President, Treasurer, Counselor, or Faculty Advisor
    • Professional: President, Treasurer
    • Region: Region Governor, Lt. Governor
  • Select the box next to Approved if the Section President has approved this Financial Submission
  • Upload any supporting materials saved on your computer by selecting Browse… under the Supporting Materials section
  • Once everything has been submitted, click the SAVE button
